July 8, 2021 Mr. Bryan Healy, Village Manager Village of Croton-on-Hudson 1 Van Wyck Street Croton-on-Hudson, NY 10520 Dear Bryan, In planning for this year’s Harry Chapin Memorial Run Against Hunger we have once again decided on staging a hybrid event incorporating both a virtual event – run when and where you want -as we did in 2021 - and an in-person event based at Croton Harmon High School as we have traditionally done. The virtual event would have a window of October 8-15 for participants to run or walk while the in-person event would be held on October16. Last year pre-race registration and tee-shirt pickup for both our virtual event and in- person events were based at Asbury United Methodist Church and the Asbury parking lot, with a largely outdoors model of operation including drive through pick-up. This year we are preparing for registration and tee-shirt pick-up at Asbury for both our virtual and in-person events with both indoor and outdoor models depending on pandemic safety concerns facing us in October. For the outdoor model this may include roping off some parking spaces in the middle of the lot for easy traffic flow during our hours of operation while leaving access to the parking lot and the parking spaces along the guard rail open to the general public. We will be supplying the Village with an Additional Insured liability insurance certificate to cover this use of the parking lot for the dates listed below. If we can operate safely indoors then the discussion above about our special use of the parking lot would be moot. October 8 10:00 – 3:00pm pick-up only October 13 3:30 – 6:30pm pick-up only October 15 10:00am – 3:00pm pick-up and in-person registration The in-person event will be staged in accordance with Croton Harmon Union Free School District Covid safety guidance at the time of the event and safety practices available in the running community. We intend to use the same event starting times and courses – 5K Run/Walk – 8:30am, 10K Run – 10:00am and 1 mile Fun Run - 11:45am - as we did in 2021, incorporating wave starts as necessary. We have been in contact with Chief John Nikitopoulos of the Croton Police Department and our Assistant Race Director, Mike Grayeb and I recently met with Sgt. Thomas Leonard of the to review police operational details for both our virtual and in-person events. We will continue to be in contact with Sgt. Leonard as our own operational plans firm up. In addition to the Police Department, we will also need support from the Department of Public Works for sawhorses, cones and the hanging of our banner and the Department of Emergency Medical Services for emergency medical coverage at both CHHS and out on our racecourses. I will be reaching out directly to DPW and EMS to ask for their teams’ support. We are deeply grateful to the Village Board of Trustees and Village officers and staff for their unwavering support over the past 42 Years. We realize that an event such as ours cannot be sustained without the enthusiastic support and co-operation we have always received throughout Croton Village government and the wider Croton community.
